Now in its 37th year, Canadian Music Week is Canada's leading annual entertainment event dedicated to the expression and growth of the country's music, media and entertainment industries. Combining multifaceted information-intensive conferences; a trade exposition; awards shows and the nation's largest new music festival which spans 7 nights of performances (May 6 - 12), with hundreds of showcasing bands at more than 40 live music venues in downtown Toronto. All conference functions take place at the Sheraton Centre Toronto Hotel, 123 Queen Street W. Toronto (May 9 - 11). 

Job Description

Festival Manager Responsibilities Include:

  • Oversee Festival team
  • Ensure Invites are sent out to artists
  • Mark up contracts
  • Keep all copies of contracts
  • Ensure all deposits and balance payments are completed
  • Work with creative team on all weekly festival ads
  • Work with PR team to send out press releases
  • Coordinate with all venues in securing dates and communicating programming to them 
  • Coordinate all sponsored showcases and deal with any festival related sponsors 
  • Work with sponsors in securing the proper talent and send invites out to artists that are not already a part of the festival. 
  • Work with festival team to create wish list of artists
  • Proof all promo ads relating to showcases
  • Proof the festival guide book and ensure it meets deadlines
  • Work with sponsorship liaison to ensure proper signage is at all venues for sponsored showcases.
  • Ensure guide books, signage are all up at the venues
  • Send all contracts, tech contact, and hospitality riders for all contracted artists to Production Manager
  • Ensure Production Manager has all cheques for settling night of
  • Send final ticket counts/amounts available for sale night of to Production Manager
  • Control all ticket counts and relay to agents
  • Ensure local outlets are stocked with all tickets
  • Ensuring all artists are up on the websites, weekly spotlights are updated, and any festival news is posted
  • Work with Social Media team to ensure proper notices are made on social media sites (myspace, facebook, twitter)
  • Oversee the festival team
  • Listen to band submissions and send out letters of acceptance or elimination
  • Send out invites to all artists discovered at other events or online
  • Follow up with all outstanding accepted/invited artists who have not yet secured their showcase performance
  • Create and oversee Master Artist List including ALL performing artists
  • Communicate with all bands (applicants and invitees)– provide them with showcase information (venue info, set times, backline, hospitality)
  • Collect all tech riders/advancing contact info for applicants and invited artists and send to Production Manager in one master document
  • Handle programming of all applicant and invited acts
  • Oversee the website to ensure all applicants and invited artists are up on the website with proper showcase information, pictures, bios, etc
  • Work on festival guide 
  • Collect all personnel details from ALL artists for credentials 
  • Oversee Artist Registration
  • Source out new venues 
  • Creation and Development of street team

 

Requirements:

  • 3+ years experience in the Music Industry
  • Previous experience and knowledge of music industry and festivals
  • Knowledge of Marcato and other event management tools
  • Exceptional written, oral and electronic communication skills
  • Knowledge/existing relationships with agents and other festivals
  • Excellent administrative and computer skills (Word, Excel, Outlook)
  • Proven time/priority management skills and reliable at adhering to time sensitive deadlines as required
  • Ability to work as part of a team and independently with minimal supervision
  • A positive, winning approach, incorporating integrity, confidentiality and discretion
